Protecting Identities of Participants

Protecting Identities of Participants

Protecting Identities of Participants

Because many participants live with mental health challenges, trauma histories, or other forms of vulnerability, privacy and dignity are vital:

  • We use first names, pseudonyms, artist names or anonymous credit lines when requested by participants.
  • We avoid publishing personally identifying details alongside artworks or stories without permission.
  • We limit the personal data we collect and store, and only retain it for program needs or legal requirements.
  • We do not allow A.I. tools to access or train on with any information given to us without clear, informed, written consent.

A.I. Art in Our Open Calls

Protecting Identities of Participants

Protecting Identities of Participants

Some artworks submitted to The 34 Gallery Art Therapy Open Calls are created with the assistance of A.I. tools:

  • We ask artists to identify A.I. tools and methods used in the creation of their work.
  • We support creatives who use A.I. art for self-care due to the lack of art supplies and/or mental health resources in their regions.
  •  We affirm that our mission of mental health arts outreach also includes Digital & A.I. artists in crisis and/or supportive of mental health arts advocacy.

Ethical and Responsible Use of A.I.

Protecting Identities of Participants

Ethical and Responsible Use of A.I.

We follow nonprofit best practices for ethical A.I. use, including principles of “do no harm,” privacy, consent, fairness, and transparency:

  • We use A.I. tools for low-risk administrative tasks with human review.
  • Our programs support the positive role and inclusion of A.I. in education,  career development, & creative self-care.
  • We emphasize to those we serve that A.I. systems do not replace professional mental health care, crisis support, or human judgment.

Simuka Africa & A.I. Integration

Simuka Africa provides a weekly SAYA Career Development Newsletter to our quarterly Zimbabwean and International virtual volunteers that includes administrative updates, A.I. information alongside fellowship, internship, educational, conference, and employment opportunities. A.I. Publication Policy

Guidelines

These guidelines help volunteers use AI tools responsibly and consistently when creating materials on behalf of Simuka Africa and The 34 Gallery Initiative. Human review and judgment remain central to all published work.

Mandated Ethical Use

Volunteers may use AI tools for the following purposes:

  1. Brainstorming ideas for exhibit themes, event concepts, or promotional angles.
  2. Drafting initial text for newsletters, social media posts, event descriptions, or press releases — provided a human volunteer reviews and edits before publication.
  3. Proofreading or improving grammar and clarity of volunteer-written copy.
  4. Summarizing lengthy documents, statements, or research materials for internal volunteer use.
  5. Translating content for multilingual outreach with human review for accuracy and tone.
  6. Generating image alt-text descriptions for accessibility purposes, reviewed by a human.
  7. Creating templates for recurring materials such as event programs and acknowledgment letters.
  8. Researching background information on SDGs, art history, art movements, or grant opportunities — facts must be independently verified before use.

REstricted Unethical Use

Volunteers must not use A.I. tools for the following:

  1. Generating or fabricating quotes attributed to artists, staff, donors, or community members.
  2. Creating artwork or images presented as original works by a human artist or by our organization without clear disclosure.
  3. Writing artist statements on behalf of artists without their knowledge and explicit consent.
  4. Producing unreviewed copy with our organizational names without human editorial oversight.
  5. Processing or inputting data about donors, staff members, or artists into third-party A.I. platforms without authorization.
  6. Making decisions about exhibitions, funding, or programming.
  7. Generating content that reproduces or closely imitates the style, voice, or work of a specific living artist without their consent.
  8. Replacing actual volunteer participation in ways that undermine our community engagement goals.
